2. Information we may collect
Depending on how you interact with us, we may process your name, employer or business name, job title, business email address, business telephone number, business location, correspondence with us, campaign and enquiry history, invoice and payment information, and information you choose to provide to us.
For business-development and lead-generation work, we may also process professional information about business contacts obtained from public business sources, such as an employer's website, professional profile, company announcements or other publicly available business information. We do not intentionally collect special-category personal data for prospecting.
3. Where information comes from
We may receive information directly from you or your organisation. We may also obtain professional contact and company information from publicly available business sources and, where appropriate, business-data providers used for prospect research.
4. How and why we use information
We may use personal information to respond to enquiries; provide and administer our services; communicate with clients and suppliers; issue invoices and maintain business records; research and qualify potential business prospects; prepare and manage relevant B2B outreach; maintain suppression and do-not-contact records; protect our systems and business; and meet legal, tax and regulatory obligations.
5. Lawful bases
Our lawful basis depends on the activity. We may process information because it is necessary to take steps at your request or perform a contract with you; because we have a legal obligation; or because we have a legitimate interest in operating and growing our business, managing client relationships and carrying out proportionate B2B business development. Where we rely on legitimate interests for direct marketing, we assess the purpose, necessity and impact on the individual. Where consent is legally required, we will seek consent.
6. Direct marketing and objections
We aim to keep B2B outreach targeted and relevant. You can object to direct marketing at any time by replying to a message or emailing admin@hawk-dynamics.com. If you opt out or object, we may retain limited information on a suppression list so that we can respect your preference and avoid contacting you again for direct marketing.
7. Sharing information
We may share information only where reasonably necessary with service providers that help us operate the business, such as email, hosting, productivity, accounting, CRM, data-processing or prospect-research providers; with professional advisers; with a client where this forms part of an agreed service and is lawful; or with public authorities where required by law. We do not sell personal information.
8. International processing
Some technology providers may process information outside the United Kingdom. Where this happens, we will use providers and safeguards appropriate to UK data-protection requirements.
9. How long we keep information
We keep information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting and tax requirements. Prospecting records are reviewed periodically and removed or anonymised when no longer required, while minimal suppression information may be retained for longer so that we can continue to honour an opt-out.
10. Your rights
Depending on the circumstances, you may have rights to ask for access to your personal information, correction, erasure, restriction, portability, or to object to processing. Where processing is based on consent, you may withdraw that consent. The right to object to processing for direct marketing is absolute.
To exercise a right, email admin@hawk-dynamics.com. We may need to verify your identity before acting on a request.
11. Complaints
Please contact us first if you have a privacy concern. You also have the right to complain to the UK Information Commissioner's Office (ICO).
12. Website cookies and analytics
